Position Scope:

Reporting to the Supervisor, Human Resources Programs, the HR Coordinator will be tasked with a wide variety of human resources related duties, among them, assisting with union and non-union recruitment activities, generating and amalgamating reports, responding to general inquiries and providing support to the human resources team and the company.  The HR Coordinator's role is key to providing the necessary human resources support to the organization.

The ideal candidate will have a broad knowledge of Human Resources as well as general administrative responsibilities. He/She will be able to work both autonomously and as a member of a highly functioning team, to ensure the end-to-end running of HR programs and services.

THIS IS A 3 MONTH TEMPORARY CONTRACT.

Responsibilities:

General Administrative Duties

  • Perform a variety of confidential administrative duties requiring broad and comprehensive knowledge of organization policies and procedures.
  • Responding to internal and external HR related inquiries or requests and provide assistance.
  • Develop and maintain electronic filing systems including correspondence, project files, supporting documents, and general administrative documents.
  • Assist the HR team with ad hoc reporting and special projects (e. annual Code of Conduct reaffirmation, follow-up on performance management reviews, policy and guideline amendments, Recruitment fairs for both union and non-union positions), as required.
  • Liaise with other departments (Shared Services, IT, Finance, etc.) to obtain information or assist with bringing about necessary process changes.
  • Research on various HR best practices, as required.
  • Maintaining and updating HR forms and administering HR-related documentation.
  • Update and maintain HR systems by reporting, tracking and analyzing data.

 Union Hiring Coordination

  • Coordinate the union hiring process up to orientation, including pre-access testing.

 Salaried and Non-Union Hourly Recruitment Coordination

  • Creating and maintaining electronic files and ensuring proper documentation for each position competition.
  • Coordination of company-wide recruitment and selection activities, and internal communications, including the maintenance of Organizational Charts. 
  • Coordinate recruitment and selection activities by maintaining our recruitment summary for executive presentation.
  • Assist with maintaining applicants using applicant tracking system (ATS), as well as coordination of fax and drop off applications.
  • Research and generation of job advertisements.
  • Assisting with reference checks and screening potential candidates.
  • Work with business and outside providers to coordinate the hiring of temporary contract staff.
  • Assist in the recruitment of entry level positions.
  • Generation of Offer of Employment Letters and corresponding documentation.

Qualifications:

  • Minimum two years in a human resources administrative role, preferably in the industrial or construction sector.
  • Minimum one year of recruiting-related experience in Construction sector, with preference for prior union environment exposure.
  • Human Resources certificate or diploma.
  • Knowledge of human resources processes and best practices.
  • High level of proficiency with MS Office (intermediate or advanced in Word, Excel, Outlook, PowerPoint).
  • Experience with JD Edwards
  • Ability to work with ATS software
  • Understanding of sourcing tools, such as resume databases and online communities
  • Familiarity with social media recruiting
  • Strong communication and interpersonal skills
  • Ability to handle data with confidentiality.
  • Ability to multitask under tight deadlines and set priorities.
  • Proven ability to resolve issues and work through situations with tact and diplomacy.
  • Ability to effectively work in a team environment.
