Receptionist/Office Assistant

Job Description

  • SWCA Environmental Consultants is an employee-owned company of environmental professionals who specialize in natural and cultural resource management, environmental planning, and regulatory compliance.
  • We are seeking a Receptionist/Office Assistant for the Pasadena office. This candidate will be required to demonstrate professional phone and customer service skills and must work well in a team environment. This is a temporary, part-time, hourly position with the potential to work full-time based on workload.

Required Skills

  • File Management
  • Maintain databases, spreadsheets, and various reports
  • Process incoming and outgoing mail
  • Assist with developing, copying, and assembling reports
  • Order, store, and inventory office and kitchen supplies
  • Assist with car rentals and lodging reservations
  • Maintain kitchen and general office work areas
  • Scan credit card receipts and upload to company intranet
  • Provide general clerical support to Sr. Admin and office staff
  • Assist with planning and set-up of company meetings and events
  • Assist with administrative tasks related to the company safety program
  • Timesheet tracking and paycheck distribution
  • Arrange, track, and ship company materials
  • Run company errands and deliveries

Required Experience

  • Minimum of two years of administrative, secretarial, or reception experience
  • Ability to answer a multi-line phone system
  • Superb phone, communication, and interpersonal skills with ability to represent company in a professional manner
  • Ability to work independently, be proactive, reliable, follow directions, solve problems, and take initiative
  • Strong multi-tasking skills and ability to produce results under pressure in a fast-paced environment
  • Team player, who is willing to make contributions both locally and companywide
  • Proficiency in Microsoft Office (Word, Excel)
