Human Resource Assistant

Overview:

  • The Human Resource Assistant supports the Human Resources department and other personnel by acting as liaison and coordinator with internal and external customers, consultants, vendors, staff and management; and by creating, maintaining and updating files, correspondence, forms, presentation materials and databases to meet objectives.

Responsibilities:

  • Essential duties and responsibilities include, but are not limited to, any one of the following assigned areas:
  • Greets all employees in a professional and friendly manner; answers routine questions pertaining to policies, procedures, benefits, etc.
  • Answer telephone calls to minimize interruptions and maximize information flow through the office.
  • Daily maintenance and entering of pay, benefits, attendance, leave and other HR related information into HR systems.
  • Coordinates internal interview schedules for all exempt and nonexempt openings.
  • Planning and coordinating internal meetings and training sessions.
  • Creates complex, confidential documents and presentations using word-processing, spreadsheet database and presentation software.
  • Preparing business communications via email or external business correspondence.
  • Reviews and distributes incoming mail.
  • Type memos, correspondence, reports, and other documents; prepares interview files and files other paperwork as required.
  • Assist other Administrative Assistants as required.
  • Performs other duties, including non-core responsibilities as required.

Education/Experience

  • High School or GED.  AA or four year degree preferred.
  • Three to five years’ experience in an Administrative Assistant capacity required with Human Resource experience preferred.
  • Requires effective oral and written communication skills, excellent interpersonal skills, ability to follow through on assigned tasks and good computer literacy.

Knowledge of

  • Prior knowledge principles and practices of Human Resource.
  • Basic business communications while working in a business environment.
  • Safety and health hazards associated with office operations.

Skills, abilities and physical requirements

  • Basic skills in Word, Excel, Outlook, and PowerPoint along with a working knowledge of Access.
  • Ability to clearly communicate orally and in writing with co-workers, supervisors and others.
  • Ability to compose routine documents with accurate punctuation and grammar.
  • Good organizational skills with ability to follow through on assigned tasks.
  • Ability to read and understand operating procedures.
  • Project professional image.
  • Ability to work overtime as required.
  • Ability to work unsupervised as required.
  • During construction phase, ability to walk distances and often on uneven surfaces.
  • Ability to carry files, manuals, boxes, etc.
  • Ability to don and wear as required, safety equipment including respirators, hearing and eye protection, and protective clothing.
