Project Administrator I
Overview:
- Is responsible for providing administrative, secretarial support to the project. Maintains a professional working relationship with owners, architects, engineers, subcontractors and suppliers.
Responsibilities:
- Performs general office duties.
- Maintains project files, which include correspondence, subcontractor/purchase order agreements, vendor files, timecard and billing files.
- Types and distributes project correspondence.
- Coordinates all project payables and receivable with Accounting Department.
- Maintains and reconciles job site petty cash and other accounts.
- Performs setup of subcontracts and logs in JDE subcontract management, to include verification of contractors' license.
- Sets up and maintains subcontract change orders (supplements) in JDE.
- Creates commitment of subcontract change orders (supplements) in JDE.
- Inputs change orders and budget adjustments into JDE.
- Coordinates and processes Change Orders (supplements) affecting the scope of work.
- Processes subcontractor pay application after Project Manager's approval.
- Assists with owner billing.
- Maintains and distributes Billing Status Report. Tracks executed subcontracts/supplements, insurance, bonds, pre-liens, lien releases, joint checks.
- Assist with project closeout as requested by project team, perform duties as required by project closeout checklist.
- Generates and audits reports including equipment, labor, material, subcontractor committed cost and job cost.
- On remote projects, will coordinate with Corporate Employment office in preparing and coordinating hiring guidelines, applicant flow logs, pre-employment drug test, employee orientation and/or employee separation.
- Monitors and coordinates compliance requirements (i.e., certified payroll, minority craft hiring goals & monthly utilization report & daily manpower reports for all contractors on the project.)
- Responsible for the timely completion of all required compliance reports.
- Sets up, maintains and ensures full compliance of Bulletin Board postings with federal, state, government agencies, local and [Company] posters and policies.
- Ensures that all compliance required records (Certified Payrolls and Daily Reports) are correctly on file and ready for auditing.
Qualifications:
- Two year accounting degree or equivalent combination of business training and/or related experience. Proficiency with word processing and spreadsheet software. Specific experience in the construction industry is highly desirable. Certified Payroll Experience a plus. Supervisory experience is helpful. Good organizational skills are necessary.
