Our client is a leading Nickel producer. They are seeking the services of a
Senior Site Officer.
.1 Office Management Duties
- Contribute to the overall effectiveness of the Administrative function for the Operations by the co-ordination of the following activities:
- Management of the movement of personnel to and from site
- Supervision of Skippers Aviation Contract
- Liaise with contractors on site works (both on site and in the camp)
- Supervision of Receptionist position
- Attend to corporate visitors when on site
- (including arranging catering, accommodation, transport etc)
- All other duties as required by the Resident Manager
1.2 Reporting Requirements
- Production, review, and distribution of the monthly and quarterly reports for the Operation
- Prepare and coordinate annual budget and quarterly forecast
- Collect fringe benefit tax data and forward to corporate for lodging
- Assess assay results and report any trends
- Present KPI's at management meetings
1.3 Camp Management Duties
- Supervision of the Camp Catering Contract
- Liaise with Contractor regarding accommodation movements
- Oversee duties performed by staff and ensure contract is being adhered to
- Ensure camp maintenance is of a high standard
- Liaise with third party contractors for camp services
- Cost management and stock control
- Camp Inspections conducted on a monthly basis
- Toolbox meetings conducted on a monthly basis
1.4 Support
- Review costs with Department Managers to assist in target cost drivers and trends
- Provide training and support to employees in reading/understanding financial data
- Assist in the management of accounts payable, including filing of credit applications
- Provide support for corporate office with analysis with analysing financial and production data
- Design spreadsheets to assist in the sorting of data to make workloads less for people
- Design process flows to streamline work processes
1.5 Accounting
- Develop, maintain, and reconcile the Asset Register for accounting and tax purposes, including the calculation of depreciation
- Check Capital Expenditure approvals
- Record approved CER's
- Review CER expenditure each month
- Liaise with Logistics Superintendent with regards to concentrate movements
- Review and assess the status shipment transits and distribute information
- Prepare cash flow forecasts and cash draw downs to fund business needs
- Provide Corporate with reconciled diesel usage file each month
- Assist where necessary in the preparation of the diesel fuel rebate
- Review contracts for implications for unit cost calculations or cost centres
- Reconcile balance sheet accounts
- Invoice Inco for offsite costs incurred in transporting concentrate
1.6 Management
- Manage stores to ensure timely stock takes and reports are completed
- Conduct discussions on a weekly basis to address employee concerns and issues
- Assist with the implementation of changes
- Provide guidance to employees to assist improve their skills/performance
- Ensure stores employees are performing to the required standard
- Conduct stores area inspections as required
- Coordinate stores employee leave requests
1.7 Contract/Policy Management
- Collate information for insurance claims
- Liaise with insurance company for business needs
- Annually review insurance policy
- Review and monitor contracts and check for any implications
1.8 Purchasing Duties
- Raise purchase requisitions/orders as required
- Follow up on existing/outstanding orders
- Arrange for delivery of goods
- Receipting of deliveries
- Negotiate with suppliers
1.9 Human Resources Duties
Facilitate the following (ie: train and manage receptionist in these areas):
- Issue pre-employment starter packs (including Letter of Offer, Superannuation etc)
- Record management of Australia Workplace Agreement documentation
- Booking of Pre-employment medicals
- Establishing and maintaining employee personnel files
- Liaise with Payroll (Perth Office) on employee enquiries
- Meet and greet of new employees
- Arrange uniforms and PPE for new employees
- Maintain up to date site photoboards
1.10 General Duties
Facilitate the following (ie: train and manage receptionist in these areas)
- Completion of monthly newsletter
- Maintain an up to date Phone Register for both site and camp and control access
- Complete monthly Man/hour statistics
- Compile and collate Daily, Weekly and Monthly Reports
- Establishing and maintaining filing systems
- Maintain Site Databases (InFlight, InTuition, InControl)
- All other duties as requested by Registered Manager.
