Administrative Assistant - Legal

Job Description

  • Providing support and assistance primarily for the Senior Counsel - Employment, as well as the company's employment team located in various locations.

The responsibilities for the position will include:

  • Communication with office personnel, clients and outside counsel
  • Maintaining new and existing files
  • Scheduling meetings and maintaining attorney calendar
  • Creating and editing legal documents and correspondence
  • Processing outside counsel invoices
  • Assisting with facilitating various training programs
  • Managing attorney continuing legal education requirements and reporting
  • Preparing files, Filing/Copying/Database Management and Coordination
  • Assisting with subpoenas and minor discovery responses
  • Managing Time Sheet/Billable Hour Reporting
  • Coordinating with Company Travel to make airline, hotel, car arrangements
  • Monitoring travel, and update traveler with any changes
  • Managing Expense Accounts/AmEx Reconciliation
  • Preparing meeting minutes
  • Ordering supplies
  • Other related duties as may be required

Basic Job Requirements

  • Minimum of 5 years of experience as an administrative assistant
  • Must have experience working in a legal environment
  • Expertise with Microsoft Word, Excel, and PowerPoint skills
  • Knowledge of employment terms and employment documents

  • Ability to prioritize and multi-task
  • Outstanding organizational skills
  • Maintain information and records with highest levels of confidentiality and discretion
  • Ability to accomplish required tasks with minimal supervision
  • Ability to work quickly and accurately (constant attention to detail)
  • Proofreading skills
  • Excellent Written and Communication skills

Preferred Qualifications

  • Associate Degree preferred
