Training and Facilitation Officer

A Large Mining Industry in Pretoria is urgently looking for Training and Facilitation Officer.

Minimum Requirements

  • Relevant experience in administration environment
  • Grade 12 with English

Job Specification

Compliance, Governance and Assurance

  • Adhere to legal requirements and comply with company specific policies and procedures.
  • Address all discrepancies/unlawful practices by reporting it to the Manager.
  • Involved in internal and external audits.
  • Adhere to legal requirements and comply specific policies procedures.
  • Address all discrepancies / unlawful practices by reporting it to the manager.
  • Some BU's only: Facilitate HR projects to comply with the Legal Liability according to the Act.(Orientation, induction, legal liability for supervisors and HIRA).
  • Coordinate and control all internal and external audits related to HR functions.

Customer Service and Relationships

  • Maintain trusted partnerships between training officers line management contractor supervisors and other services departments.
  • Satisfied customers.
  • Adhere to service level agreements to ensure customer satisfaction.

Document Control- and Quality

  • Coordinate office administration and control documentation toward supporting departmental functions.
  • Standardise data input (SAP/LMS) ensure data in captured accurately and product related data on document management systems/database is in accordance with procedural standards.
  • Coordinate and involved in revision of e-learning.
  • Manage and maintain filing system to readily access and retrieve data.
  • Ensure effective distribution of manuals information control and document changes as per request.
  • Conduct functional audits and quality checks on documentation.
  • Prepare and complete reports/minutes and analysis.

HRD Support

Manage the office independently during the absence of manager: Invigilator for external exams (LRC registered exam centre).

Support departmental team coordinate office functions and render support in terms of:
  • Management Development Programmes
  • Document control
  • Venue booking and arrangements
  • Scheduling of meetings and travel arrangements (domestic and international)
  • Attending to stock/invoices where applicable
  • Scheduling of induction programmes / skills programmes (theoretical training)
  • Practical training and assessment thereof.

Invoices and Recoveries

  • Ensure invoices are taken through the proper process for timely payment and that billing takes place for facilities, training, manuals, e-learning and assessments.
  • Learning and Growth
  • Manage the development and implementation of a personal learning of a personal learning and growth plan to ensure continued development.
  • Perform fair and reasonable tasks related to the job and working environment at the discretion of the manager (direct superior).

System Administration

  • Register, capture, update, control and maintain data and other related systems required to enhance departmental operations.
  • Ensure availability of information, conduct required analysis and research to ensure input when required and to ensure accuracy of correspondence.

Training

  • Manage the training of administration learners.
  • Supervision in the computer base training room.
  • Manage the learning resources centre.
  • Handling administration of management development programme (BMP,FLM,PBM) and external training providers.
