Administrative Assistant

Primary Purpose:

  • Primary role is to provide administrative support and relief for the Budget Coordinator along with other departments as necessary.  Perform various clerical, administrative and general office duties involving report writing, word processing, invoice coding and tracking, file and records management, monthly budgetary tracking, and telephone support for the Southern Region in the Casper office. 
  • Also provides administrative support through supplies management and scheduling computer and facility support services as necessary.

Job Responsibilities:

  • Provide general office administrative support services, including but not limited to: telephone coverage, mail and fax processing, file maintenance, ordering of office supplies, Lawson requisition entry for requester
  • Receive and refer telephone information including but not limited to: directing routine matters for action, answering questions to inquiries and/or directing caller to the proper resource(s)
  • Order and maintain necessary office supplies and materials (letterhead, envelopes, copy paper, printer toner, and other office supplies) to ensure adequate supply.
  • Support Budget Coordinator through AFE reconciliation, Invoice processing, Logging invoices in engineering database, PO processing, Power Bill processing, C4 monthly reporting,  logging contractor hours, maintaining log for use tax per county and COGNOS input entry.
  • Support  Land, Engineering, EHS, Procurement and Operations departments
  • Other duties as assigned.

Position Requirements

Education
  • High School diploma or GED required; graduation from pertinent trade/business school or community college is desirable

Experience / specific knowledge: 

  • Minimum of 2 to 4 years direct work experience as an Administrative Assistant in a general office/clerical environment.
  • Must possess working knowledge of standard office equipment

Certifications, licenses, registrations:

  • Must possess and maintain a valid driver’s license and a driving record satisfactory to the Company and its insurers

Competencies, skills, and abilities:

  • Good verbal and written communication skills, including ability to interact with individuals at all levels in the organization
  • Ability to effectively communicate (oral and written) with internal departments, vendors and customers
  • Must be able to work with confidential and sensitive information in a professional manner
  • Basic math skills (addition, subtraction, multiplication, division, decimals, fractions)
  • Must be able to work with a team, take direction from supervisor(s), focus attention on details, follow work rules, and adhere to work schedules
  • Must be self-motivated and capable of working with minimal direct supervision
  • Must be capable of completing and tracking multiple tasks simultaneously, and often under strict deadlines
  • Proven organizational and time management skills required
  • Intermediate proficiency level in MS Office (Word, Excel and PowerPoint and Outlook)
  • Must pay attention to detail and complete assignments error free
  • Ability to multi-task, properly set priorities and maintain strict confidentiality

Physical demands:

  • The employee is regularly required to sit; use hands to finger, handle, or feel and talk or hear. The employee is frequently required to stand and reach with hands and arms. The employee is occasionally required to walk and climb or balance. The employee must regularly lift and /or move up to 10 pounds and frequently lift and/or move up to 25 pounds.

Working conditions: 

  • May work for one person or a group of people; work is typically indoors.
  • Overtime may be required on and infrequent basis.
  • Work location is to be performed at the Regional office in Casper, WY
  • Occasional but infrequent travel may be required outside of the assigned work location.

Preferred education, experience, certifications, competencies, skills, and abilities:
Above the minimum requirements; not required but advantageous in this position:

  • Prior work experience as an Administrative Assistant supporting an Operations Dept is preferred.
  • Demonstrated Knowledge of Kinder Morgan internal organization structure and understanding of business segments is a plus
  • Understanding of Company-specific software applications such as Lawson, Accounts Payable, etc.
  • Some college preferred
