General Summary

  • The position is responsible for assisting the Group or Regional Safety Manager in the collection, processing, dissemination and maintenance of safety/insurance related data, records, files, etc. Performs a variety of administrative and department support functions to ensure the daily operations of the department run efficiently.

Essential Job Accountabilities

  • Perform a wide variety of daily, weekly and monthly administrative functions involving; safety databases, DOT compliance, safety training, project pre-work, employee medical evaluations, etc.
  • Claims notification and management to ensure accuracy and timely completion in compliance with Company policy
  • Provide accurate and timely communication to Safety Manager(s) to ensure key information is disseminated
  • Compile data received from Safety Manager(s) and organize into presentation format
  • Assist in the administration of the Company Drug & Alcohol Policy, Accident Prevention Program, Fleet Safety Program and other safety and insurance related policies and/or programs
  • Review and code expenses to ensure accurate accounting and budgeting
  • Manage injured employee “Return-To-Work” program in assigned Group/Region
  • Assist in the preparation and maintenance of confidential employee records with respect to drug and alcohol testing results, employee training/certification records, motor vehicle/driving records, medical information and other documents as they relate to the health and safety of employees
  • Maintain records, data, forms and documents related to the investigation and inspection of work areas
  • Assist in the preparation and distribution of safety related topics
  • Maintain department files to ensure they remain organized and current
  • Develop and maintain relationships, agreements and contracts with clinics, medical/testing facilities and insurance carriers
  • Other duties as assigned

Education

  • Associates degree or equivalent combinations of training and experience required
  • Bachelors degree preferred

Work Experience

  • 2+ yrs. administrative/office experience
  • 2+ yrs. experience in a construction related safety/insurance environment preferred

Knowledge, skills, and abilities

  • Ability to maintain confidentiality
  • Demonstrated proficiency of MS Office products (Word, Excel, PowerPoint, etc.)
  • Good understanding of insurance/medical and litigation related terminology
  • Ability to properly manage and prioritize resources and projects
  • Must be detail oriented and have excellent organizational skills
  • Ability to work independently, problem solve and follow through
  • Team player who can operate effectively within a matrix management environment
  • Strong consultative skills and ability to interface effectively with all levels of employees
  • Ability to work in high production environment and respond quickly and effectively under pressure and deadlines.
  • Excellent presentation and written/oral communication skills to effectively disseminate information

Physical Demands

  • The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk and hear. The employee frequently is required to stand, walk, sit and use hands to operate a computer keyboard. The employee is occasionally required to reach with hands and arms. The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision, and ability to adjust focus.
