DRC Administrator

The purpose of this role is to provide direct output support to the company in the form of administration management and further assisting direct reports within the Johannesburg office, ensuring the smooth operations of the team's travel, administration and reporting needs in relation to the company’s standards.

NB: Must be able to speak French

Minimum Requirements

  • Excellent communication skills in both French and English - both written and oral
  • Ability to translate documents from both French into English and English into French
  • Well organised and high attention to detail
  • Accurate typing and document proof reading,
  • Advanced computer skills, particularly with Microsoft Office packages , including Outlook
  • Motivated and willing to contribute as an active member of the team
  • Relevant diploma in project or business administration or sufficient demonstrable experience
  • Previous exposure to SharePoint would be advantageous.
  • Proven experience in document proof reading.

Job Specification

The role holder has the following accountabilities and authorities:

  • Process invoices and prepare purchase requisitions, receipting and reconcile expenditure commitments.
  • Maintain document control systems of the team as per the Document Control systems enabling prompt retrieval of documentation and archiving of documents appropriately.
  • Compiling and maintaining the department's list of contacts and networks.
  • Ensure that staff joining the company are allocated the required access to IT resources.
  • Ensure access to IT resources as issued to staff.
  • Ensure current applications, technical systems and software maintenance and purchase is done and payment processed.
  • Timeously arrange as per the project schedule, the travel itineraries of project resources (domestic and international) with in-house travel agent, hotel and transportation arrangements all of which are supported by valid travel documentation e.g. visas, inoculations, etc. and other material requirements e.g. forex, tracing device as prescribed by the Duty of Care Programme.
  • Effectively organize and prioritise tasks in a manner that adequately allocates and divides time between various aspects of the work to ensure that sufficient support is given.
  • Aptly and timeously identification of incoming (reading & screening) and outgoing correspondence pertaining to the business.
  • Efficiently handle all filing by establishing and maintaining a framework for systematic retrieval of data and ensuring a well-structured and organized administrative makeup of the office in general.
  • Create documents and neat print-outs using computer software such as MS Word, PowerPoint, Excel, etc.
  • Ensure that all applications for expenditure and project reporting are aligned with standards, guidelines and schedules.
