Position Summary:

We are currently looking for a Receptionist/Administrative Assistant to join our dynamic team based out of our  Transfer Station located in Edmonton, AB office. 

Responsibilities:
  • Receive phone calls, requests, faxes and mail, etc. and courteously deal with all by either personally responding, delegating, or re-directing
  • Managing incoming and outgoing faxes;
  • Receiving and distributing all incoming couriers;
  • Photocopy, file and scan, as needed;
  • Schedule organization, including travel, etc. as required
  • Develop agendas, arrange meetings, record and transcribe minutes, and maintain a record of outstanding action items
  • Prepare meeting minutes
  • Expense report entry
  • Collection and filing of all confidential and business information as required and ensure files are easily retrieved
  • Preparing presentations and providing research and developing reports
  • Coordinate and assemble information for internal and external distribution
  • Draft, compose, and distribute correspondence
  • Assist with various projects as required
  • Daily sorting and posting of external manifests/documents
  • Managing invoicing as required
  • Communicate with co-workers and customers, effectively and professionally to obtain necessary information for project completion
  • Manage office supply inventory
  • Ownership of Requisition, Purchase Order and Receiving process
  • Payroll/Time entry in to a Field Data Capture system and/or directly in to PeopleSoft
  • General office clean up

Qualifications:

Technical:
  • Minimum 2 years of office admin experience in industry, or recent graduate from a post secondary office admin program
  • Strong computer skills and ability to effectively utilize Microsoft Word, Excel, PowerPoint and Outlook
  • Knowledge of environmental remediation / construction industry preferred
  • Basic understanding of accounting processes required
  • Excellent ability to accurately enter data and maintain detailed records

Interpersonal:
  • Strong verbal and written communication skills
  • Ability to develop, nurture and maintain strong relationships with all levels of the organization
  • Excellent time management skills and ability to be work effectively under pressure, meet demanding deadlines and manage changing priorities          
  • Ability to work well in a team environment or independently as required
  • Maintain professional conduct at all times
  • A strong willingness to learn.
