General Purpose

  • Provides high-level administrative and clerical support to a company President and CEO to achieve corporate goals and objectives in a wide variety of administrative and staff support functions. May assist in budget preparation and control activities. May compile and analyze data, prepare reports/recommendations for action by a top executive. Administers or coordinates projects, and/or processes specific to the operation unit serviced. May serve as administrative liaison within and outside the company regarding issues related to business operations.

Responsibilities

  • Manage internal and external requests for participation of the company president in meetings and events from internal management, departments, governmental agencies, internal and external committees. Manage the president’s calendar to ensure proper meeting and event coordination, including preparation of supporting materials, facilities and coordination with key participants.
  • Review and edit weekly, monthly and quarterly reports as well as all speeches and presentations of the president.
  • Monitor president’s email to ensure timely response to urgent issues as they arise, and respond on behalf of the president as needed.
  • Manage the executive reception area including freight, mail, office equipment, supplies and executive floor space allocation.
  • Make extensive travel arrangements and preparation of detailed itineraries.
  • Prepare correspondence and reports with minimal executive direction.
  • Coordinate with communications department regarding executive talking points, speeches and presentations; provide final product review.
  • Prepare president’s expense reports and track company spending against budget.
  • Lead and mentor executive administrative staff as needed.

Requirements

  • Bachelor’s Degree in Business Administration or a related field; or the equivalent combination of education and experience.
  • A minimum of seven years experience.
  • Excellent written communication skills applied to reports, memos, and presentations,
  • Strong attention to detail.
  • Ability to multi-task in an environment of competing priorities and frequent interruptions.
  • Ability to understand and quickly prioritize complex issues.
  • Leadership and teamwork skills to provide input into policy decisions and to mobilize resources to produce desired business results.
  • Plan, coordinate and facilitate major events and/or programs.
  • Superior communication and interpersonal skills to carefully interact with political, executive and managerial parties. Ability to manage and motivate employees using oral and written communication to convey objectives and action plans.
  • Proficient with the use of personal computers including spreadsheet, word processing, database and presentation applications..
  • Ability to apply judgment in determining the criticality of a request and forward request to resource to be addressed.

Preferences

  • Knowledge of the Company’s strategic plan, objectives for specific area, as well as Company policies, procedures, and practices and federal, state, and local governmental laws and regulations.
