Reporting to the Contract Manager, the Site Administrator is responsible for providing a high level of administrative support to the KCGM MARC contract. The position is responsible for coordinating team rosters, all required audits (Safety, Quality, CPS and CC) and ensuring compliance with relevant WesTrac policies and procedures, coordinating site mobilisation requirements, ensuring daily timesheets are entered correctly and induction arrangements within the designated area of responsibility.
  • 5 day shifts on, 2 days off
  • Kalgoorlie residential
  • Full time and permanent role

The Administrator is also responsible to ensure external items are encoded onto work orders, priced correctly and provide all administration functions as directed. The provision of high level customer service to both internal and external stakeholders is paramount to the position.

Job Duties:
  • Ensure accurate processing of work orders
  • Accurately encoding job authorisation forms
  • Data entry, reports and placing information into various programs
  • Checking reports and time sheets
  • Development and maintenance of standard jobs in CSA BMS
  • General administration duties
  • Raising Purchase Orders, managing work in progress, warranty claims and invoices
  • Coordinating labour rosters, flights and accommodation
  • Managing vehicle & tooling maintenance
  • Site Quality assurance and document control
  • Maintain QA system audit schedule

The successful candidate will have;
  • Highly developed administrative skills with a minimum of 2 years previous experience within a similar role
  • Excellent communication skills – interpersonal, written and verbal
  • Excellent customer service skills with the ability to build and maintain successful working relationships
  • Advanced computer literacy skills – MS Office and relevant internet based applications
  • High attention to detail with the ability to identify continuous improvement initiatives
  • Advanced time management, planning and organisational skills with the ability manage multiple priorities to meet objectives
  • Ability to work successfully within a team and autonomously

Desirable Criteria:
  • SAP experience
  • Previous experience ensuring quality assurance and audit control
  • Previous exposure to WesTrac systems
