Position Summary:

The Project Coordinator Summer Students acts as a supporting role to the Project Manager and is responsible for participating in the gathering, distributing, and organizing information in relation to estimating, proposal submissions, reporting, safety, profitability, costing, and contract administration. At this level, a Project Coordinator has some direct contact with clients, and is starting to contribute proactively to their team.

Key Responsibilities:

1. Safety
  • Adheres to all Tervita safety policies and procedures
  • Coordinate and communicate effectively with the Safety Department

2. Estimating and Bidding
  • Prepare parametric estimates in Hard Dollar of simple scope & lower value and participate in reviews and the bidding process by:
    • Reading, analyzing tender/contract documents, to achieve a basic knowledge of the scope of work and specifications, and make recommendations and provide input to the strategy
    • Participate in preparing estimate in Hard Dollar and schedule in Microsoft Project
    • Use People Soft reporting for cost tracking to ensure accuracy
  • Assist lead estimator in ensuring all submittal packages are accurate and completed on time to the client in the required format

3. Scheduling and Planning
  • Participate in project or proposal meetings:
    • Create basic Gantt chart to show timeline of project in Microsoft Project
    • Follow up on action items
  • Set up a field office with minimal supervision
  • Work with the Project Manager and the PeopleSoft supply chain module to create purchase requisitions for purchase orders and receive goods and services against the purchase orders
  • Work with Procurement and Project Manager to ensure sub-contractors have adequate tickets and qualifications
  • Monitor site activities working with Site Supervisor and Project Manager
  • Communicate and initialize change order process in conjunction with PM. Track change in scope in Primavera Contract Management (PCM)
  • Assist in preparation of lessons learned sessions and gate review packages

4. Reporting and Cost Tracking
  • Administers People Soft for project cost tracking with minimal supervision
  • Monitors daily, weekly and monthly labour, equipment, material and sub-trade costs through People Soft and reviews with the Project Manager on a regular basis
  • Reviews and enters daily the time sheets in Field Data Time Capture (FDTC)
  • Prepares progress invoicing and progress status reports on projects with medium complexity, with minimal supervision
  • Assists with administrative project closures tasks at end of project
  • Prepares and maintains onsite project tracking binders.

5. Risk
  • Participates in identifying risk based on contracts as well as to propose basic risk mitigation strategies
  • Prepares risk reports, with some supervision

  • College diploma or University degree, preferably in an Environmental program or Engineering
  • 1-3 years discipline-related experience or equivalent combination of education and experience
  • Candidates must be ambitious and able to work some overtime with a flexibility to travel and be away from home for extended periods of time;
  • The position involves;
    • estimating, bidding, and proposal preparation;
    • Understanding of environmental regulations and local bylaws are essential;
    • Superior communication, interpersonal, and organizational skills are a must for this position
